The Situation

 

The 2025 B.C. Youth Climate Action Summit brought together young leaders, advocates, and experts to explore the role of storytelling in the climate movement. Hosted by The Starfish, CityHive, Story Money Impact, and the Ministry of Energy and Climate Solutions, the event took place at the Roundhouse Community Centre in Vancouver and was designed to reach both in-person attendees and a wider virtual audience.

 

Organizers needed a professional livestream setup that would deliver a clean, reliable broadcast to viewers on Zoom—without adding technical stress to their already full plates.

 

Our Approach

We arrived the day before to complete a full setup and test run at the venue. This gave us time to map out camera positions, check audio and internet connections, and get everything in place for a smooth show day.

 

On event day, our two-person team handled:

• A multi-camera setup to capture speaker angles and audience reactions

• Live switching and real-time broadcast to Zoom

• A podium microphone for clear stage audio

• A downstage monitor so speakers could view supporting content while presenting

• Monitoring and real-time adjustments during the livestream

• A full recording of the event for future use and sharing

 

The virtual experience was one-way, allowing online viewers to follow the full event without needing to interact, making for a focused, uninterrupted stream.

 

The Outcome

The livestream ran smoothly from start to finish. Remote attendees had full visibility of the discussions and presentations, while in-room guests and speakers experienced stable audio and visual support.

The extra step of setting up the day before allowed us to troubleshoot ahead of time, so the organizing team could stay focused on running the event—not managing tech.
