Hybrid Event Production and Recording Support in Vancouver

Short Summary
StreamCity supported a half-day hybrid event in downtown Vancouver with Zoom platform management, three-camera capture, moderated online participation, in-room Q&A mic runner workflow, and a program recording delivered post-event.

Intro
Hybrid events are two audiences at once. The room needs clear speech and pacing. Remote attendees need consistent audio, clean visuals, and a platform experience that’s actively managed.

For this half-day federal government event in downtown Vancouver, StreamCity supported hybrid execution and multi-camera recording so both audiences stayed connected and the program was captured cleanly for post-event use.

Event Context
The venue provided baseline presentation AV, including projection and house audio support. StreamCity’s role was hybrid production management and recording capture, including:

-integrating with venue AV

-managing Zoom execution

-supporting hybrid Q&A workflow

-capturing a three-camera program recording for post-event use

Because hybrid depends on multiple systems working together, preparation mattered as much as show day execution. A venue walkthrough and an evening-before setup were used to confirm the workflow ahead of doors.

The Challenge
This event required clean coordination across:

-the room audio and presenters

-remote participation and remote presenter audio returning into the room

-real-time online Q&A integration

-multi-camera recording expectations and deliverables

Hybrid gets messy when nobody owns the handoffs. Patch points, platform responsibilities, Q&A flow, and recording expectations all needed to be confirmed early so the live program didn’t turn into on-the-fly problem solving.

What StreamCity Delivered
StreamCity delivered a structured hybrid workflow designed to hold up under live conditions, including:

-Zoom platform execution and monitoring

-moderated online participation support

-three-camera capture for clean multi-angle coverage

-audio routing integration between house AV and the hybrid platform

-remote presenter audio returned into the room

-in-room Q&A workflow supported with mic runners

-program recording delivered post-event

Why the Walkthrough and Evening-Before Setup Mattered
Hybrid becomes predictable when unknowns are removed early. The walkthrough and evening-before setup confirmed:

-tech positioning and space constraints

-signal routing and patch points with house AV

-platform monitoring workflow and responsibilities

-Q&A handoff between online moderator and in-room program

-camera positioning and sightlines

-recording workflow and delivery readiness

Outcome
In-room attendees experienced a clean speaking program with structured Q&A workflow. Remote attendees had a managed Zoom experience with moderated participation. The program was captured with three-camera coverage and delivered as a recording package for post-event use.
