When BEBC reached out about livestreaming their Black Pitch Competition, we understood what was at stake. This wasn’t just another event — it was about spotlighting Black Entrepreneurs, their stories, and their visions for the future. With over 20 years in AV and event production, we approached the day with one clear goal: help deliver their program smoothly and professionally, without distractions.

 

Event Overview

• Pitch Competition: Held in the Roundhouse Theatre, with nine presenters sharing innovative business ideas

• Networking + Awards Ceremony: A second stage in the exhibition hall hosted the dinner and awards portion of the evening

 

Each pitch followed a clear structure:
5 minutes to present
5 minutes for live Q&A with a panel of judges

 

The Challenge

 

This event had multiple moving parts:

 

• Two separate venue spaces running different program segments

• Time-sensitive transitions between presenters and media

• A need to blend in-person energy with an engaging livestream experience for online viewers

 

Our Approach

 

To make this work, we focused on clear communication, solid prep, and flexibility on the day of.

 

• Pre-Event Setup
We set up the day before to test all systems, confirm slide and video playback, run cables, and ensure the countdown clock and screen feeds were working correctly.

 

• Livestream + Media Management
We handled the full livestream production for the online audience, managing:

Multi-camera setup with a dedicated wireless operator for dynamic coverage

Clean media playback of presenter slides and embedded videos

Audio capture tailored for the livestream (separate from house audio)

 

• Presenter Support
A clear countdown clock was placed stage-side for each pitch and Q&A. This gave presenters a visible timer while helping maintain flow for the in-person and livestream audience.

 

• Dual-Space Coordination
Two technical setups ran in parallel — one in the theatre, one in the exhibition hall. Our team coordinated closely with the venue’s in-house AV crew, ensuring a smooth handoff between program segments and making sure what happened in the room also came through clearly online.
